Our step-by-step guide will walk you through the process—whether you’re reporting misconduct, policy violations, or other concerns. We’ll also explain what to expect after submission and how we handle each report with care and integrity.
📝 Filing a Complaint
A formal complaint alleges a violation of the RSS Code of Ethics by a specific individual or individuals. Complaints cannot be anonymous and may lead to a formal investigation.
Steps to File a Complaint:
Access the Complaint Form

Complete all fields in the form, including:- Your full name and contact information.
- The name and contact information of the individual(s) you are accusing.
- The specific provision(s) of the RSS Code of Ethics you believe were violated.
- A statement regarding any other legal or institutional proceedings related to the alleged conduct (include status if applicable).
- A detailed account of the alleged misconduct, including dates, sources of information, and context.
- Upload any supporting documents or evidence.
Submit the Form
Review your information and submit the form. You will receive a confirmation email.Follow-Up
The Chair of the Ethics Committee will contact you within one week. If additional information is requested, you’ll have 30 days to respond.Committee Review
After initial vetting, the case will be presented to the full Ethics Committee for review.
📄 Filing a Report
A report indicates a concern or violation of the Code of Ethics but does not initiate a formal investigation. Reports may be submitted confidentially.

- A description of the incident, including any details you wish to share (e.g., name of the offender, context).
Submit the Form
Submit your report. Your identity will remain confidential unless you give explicit permission otherwise.What Happens Next
Reports are used to track incident frequency and may inform internal decisions (e.g., nominations). They do not trigger investigations unless you later choose to file a formal complaint.
🔒 Confidentiality
When you file a report (not a formal complaint), your identity as the reporter will be kept confidential within the Ethics Committee. Your identity will only be disclosed under the following circumstances:
- You explicitly grant permission (e.g., if other reporters wish to know who else has reported the same individual for bias or harassment).
- The Committee decides to pursue a formal investigation as outlined in the Policies and Procedures for the Ethics Committee, Section VI.2.
- A valid subpoena or court order requires disclosure.
All reports are anonymized no later than three years from the date of filing. At that time, original reports are deleted, and all identifying information—both of the reporter and the alleged violator—is permanently expunged from the record.
📊 How This Information Will Be Used
Reports do not initiate investigations. However, they serve important purposes:
- Tracking the frequency of incidents.
- Informing decisions related to nominations for awards and positions within the society.
The Ethics Committee does not use report information outside of society matters—unless the report is later used to initiate a formal complaint.
If you wish for your report to be formally investigated, you must file a formal complaint.
Note: If you file a complaint, you do not also need to file a report.
